ExoForm Privacy Policy

ExoForm helps people practice job interviews with an AI voice interviewer and receive feedback. This Privacy Policy explains what we collect, how we use it, and what choices you have.
1. Who We Are
ИП "ExoForm" / Individual Entrepreneur "ExoForm", IIN 040413050061, operates ExoForm at exoform.ai and related services. In this policy, "ExoForm", "we", "us", and "our" mean Individual Entrepreneur "ExoForm".
ExoForm is an interview-practice product. We are not an employer, recruiter, background-check company, or hiring decision service.
2. Information We Collect
We collect the information needed to provide the product:
- Account information: name, email address, profile image, OAuth provider information from Google or GitHub, and email verification data.
- Authentication and session information: session tokens, one-time verification codes, IP address, user agent, login method, and related security data.
- Interview setup information: job title, job description, interview language, feedback language, interview type, interview title, room name, status, timestamps, and model/prompt metadata.
- Interview content: microphone audio is processed during the live interview. We store the interview transcript, AI interviewer messages, and related conversation data. We do not intentionally store full audio recordings unless we tell you before doing so.
- Evaluation information: AI-generated summaries, scores, outcomes, competency feedback, answer review, rationales, and evaluation errors.
- Technical and analytics information: device/browser data, app events, connection state, logs, performance metrics, error data, and usage analytics.
- Communications: messages you send to us, support requests, and emails we send you, including sign-in codes.
Do not provide information that is not needed for interview practice, such as government IDs, financial account numbers, health information, passwords, confidential employer information, or personal data about other people.
3. How We Use Information
We use information to:
- create and secure your account;
- provide live AI voice interviews;
- generate transcripts, interview titles, summaries, scores, and feedback;
- let you rejoin interviews and view interview history;
- send one-time sign-in codes and service messages;
- debug, secure, and improve the product;
- monitor abuse, fraud, and reliability issues;
- understand product usage through analytics;
- improve ExoForm, including product quality, safety, reliability, and user experience;
- comply with law and enforce our Terms.
We do not use ExoForm to make employment decisions about you.
If we want to use identifiable interview content to train or fine-tune ExoForm models, we will ask for your consent. We may use aggregated, de-identified, or anonymized information to understand and improve the product.
4. AI And Voice Processing
ExoForm uses third-party AI, voice, email, authentication, hosting, analytics, and database providers to operate the service. Depending on the feature, interview content may be processed by providers such as LiveKit, Deepgram, OpenAI, ElevenLabs, Anthropic, Resend, Google, GitHub, Vercel, and database/hosting providers.
These providers process information for us so the product can work. We do not sell your interview content. We do not share your interview results with employers unless you choose to share them.
AI output can be incomplete, biased, or wrong. Treat feedback as practice guidance, not a hiring decision or professional advice.
5. How We Share Information
We may share information:
- with service providers that help us run ExoForm;
- with OAuth providers when you choose Google or GitHub sign-in;
- when you ask us to share or export information;
- to comply with law, legal process, or government requests;
- to protect ExoForm, users, and others from fraud, abuse, security incidents, or harm;
- as part of a merger, acquisition, financing, reorganization, or sale of assets.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
6. Cookies, Local Storage, And Similar Technology
We use cookies, local storage, and similar technology for authentication, security, language preferences, session continuity, sign-in method hints, and analytics. For example, the app stores an auth token and last-used sign-in method in browser local storage.
You can control cookies and local storage through your browser settings, but blocking them may prevent ExoForm from working.
7. Retention
We keep information while needed to provide ExoForm, maintain your account, comply with law, resolve disputes, enforce agreements, and protect the service.
You can delete individual interviews in the product. Deleting an interview removes the interview, transcript, and evaluation from active application records. Some data may remain for a limited time in backups, logs, security records, or provider systems where deletion is not immediate.
Completed interviews are generally kept until you delete them or request account deletion, unless we need to keep information for legal, security, payment, or dispute reasons. We have not yet adopted a fixed automatic deletion period for completed interviews. If we do, we will update this policy.
8. Security
We use reasonable technical and organizational measures designed to protect personal information. No internet service is fully secure, so we cannot guarantee absolute security.
You are responsible for keeping your account and device secure.
9. Your Choices And Rights
Depending on where you live, you may have rights to access, correct, delete, export, restrict, or object to certain processing of your personal information. You may also have the right to withdraw consent where processing is based on consent.
To make a request, contact us at privacy@exoform.ai. We may need to verify your identity before responding.
If Kazakhstan law applies, by using ExoForm you consent to the collection, processing, transfer to service providers, and cross-border transfer of your personal information as described in this policy. Your consent lasts for as long as needed for these purposes, unless you withdraw it earlier and we do not have another legal reason to continue processing.
If you are in the European Economic Area, United Kingdom, or Switzerland, our legal bases may include performance of a contract, consent, legitimate interests, and legal obligations. You may also have the right to complain to your local data protection authority.
If you are a California resident, you may have rights to know, access, correct, delete, and limit certain uses of personal information, and to opt out of sale or sharing. ExoForm does not sell personal information or share it for cross-context behavioral advertising.
10. International Transfers
We and our providers may process information in the United States and other countries. Those countries may have different privacy laws than where you live.
11. Children
ExoForm is not directed to children under 16. Do not use ExoForm if you are under 16. If we learn that we collected personal information from a child under 16 without appropriate consent, we will take reasonable steps to delete it.
12. Changes
We may update this Privacy Policy from time to time. If changes are material, we will take reasonable steps to notify you, such as by updating the date above, showing an in-product notice, or sending an email.
